Presidential Portfolio

Director of Presidential Affairs:

The Director of Presidential Affairs plays an important role in supporting the President of the Telfer Students’ Association. This entails assisting with various administrative functions, including scheduling and correspondence meetings, to ensure the smooth operation of day-to-day activities. In the role as Director of Presidential Affairs, the selected candidate will help communicate information to the whole general council. Furthermore, shadowing the president in meetings, providing valuable insight into decision-making processes and fosters a collaborative environment within AETSA. Additional responsibilities may include research tasks, drafting messages, and contributing to the strategic planning and execution of association initiatives such as 101-Week. Confidentiality and integrity in handling sensitive matters are crucial to this role to maintaining a professional and trusted environment within the association.

Academics Portfolio

Director of Academics:

As the Director of Academics, you will be responsible for overseeing the AETSA Scholarships. This includes continuing the development of a structured framework to introduce new scholarship categories, designing and refining application processes, facilitating the scholarship information sessions and ensuring fair and transparent selection criteria. You will also be responsible for anonymizing applications to maintain impartiality in the evaluation process. Additionally, you will take the lead in establishing and managing the Scholarship Committee for the upcoming academic year, ensuring an organized and ethical approach to scholarship distribution.

Director of Professional Affairs:

The Director of Professional Affairs plays a key role in enhancing the academic and professional development of Telfer students through a variety of career-focused initiatives. You will be responsible for planning, organizing, and executing impactful events such as the Professional Development Series, Student Appreciation Days, and Around the World Taste Test.

Director of Francophone Affairs:

The Director of Francophone Affairs ensures that all French-speaking Telfer students are equally represented in all events, workshops and activities. Your responsibilities include translating key documents and correspondence, facilitating bilingual communication within the organization, and leading Semaine de la Francophonie, a week-long series of events celebrating French language and culture.

Director of International Student Relations:

The Director of International Student Relations fosters an inclusive and supportive environment for international students at Telfer. Working closely with the Vice-President of Academic Affairs, you will play a key role in planning and executing major initiatives such as the Annual General Meeting and Student Appreciation Days. Collaborating with other directors to ensure the functionality of the portfolio as a whole is also expected.

Clubs Portfolio

Director of Club Development:

The Director of Club Development supports the VP of Club Relations in ensuring Telfer clubs have the resources and guidance they need to succeed. This role focuses on internal relations with clubs, assisting with operations, implementing initiatives, and gathering feedback from executives. They will work closely with the Director of Club Events to align development efforts with major events. Additionally, they will assist the VP of Club Relations with any administrative tasks that arise. This position is ideal for someone with experience in Telfer clubs who understands their challenges and is passionate about supporting club leaders.

Director of Club Events:

The Director of Club Events supports the VP of Club Relations by overseeing major club-related events, including Clubs Fair, Club Olympics, PRTs, and the Clubs Gala. They will coordinate logistics, assist clubs in event planning, and work closely with the Director of Club Development to ensure events align with club needs. Additionally, they will maintain the clubs event calendar to improve organization and avoid scheduling conflicts. This role is perfect for someone with strong organizational skills, event planning experience, and a passion for bringing students together through engaging events.

Corporate Portfolio

Director of Business Partnership:

The Director of Business Partnerships supports the VP of Corporate Affairs by assisting in the outreach and management of relationships with local businesses to enhance the association’s student discount program and student appreciation day events. This role involves researching and identifying potential business partners, developing proposals, signing agreements, and assisting with the program’s implementation and growth. The director ensures value for both partners and members and seeks new partners for student appreciation events. Success in this role requires strong organisational skills and attention to detail, effective communication skills, salesmanship, and availability during the summer.

Director of Corporate Relationships:

 The Director of Corporate Relationships supports the VP of Corporate Affairs by assisting in the securing and managing corporate sponsorships and partnerships for the association’s events and initiatives. This role involves researching and identifying potential business partners, developing proposals, signing agreements, ensuring seamless integration of sponsors into events, and managing ongoing relationships. Success in this role requires strong organisational skills and attention to detail, effective communication skills, salesmanship, and availability during the summer.

EDI Portfolio 

Director of EDI Workshops:

Responsible for developing and coordinating a variety of educational workshops and activities that promote inclusivity and awareness. This includes mandatory sessions on topics such as sexual assault prevention, reconciliation, and inclusive language, as well as additional events addressing equity, diversity, and inclusion. The director collaborates with students, faculty, and stakeholders to assess community needs and design engaging relevant programs. They also recruit and supervise facilitators or guest speakers, ensuring high-quality delivery. Additionally, the director evaluates program effectiveness through participant feedback and makes necessary improvements to enhance impact.

Director of EDI:

Responsible for organizing faculty-wide events that promote and celebrate equity, diversity, and inclusion (EDI) within the local community. They support fellow directors in planning workshops and managing the overall EDI portfolio’s funds. This role also involves building relationships with community leaders and organizations to explore potential collaborations on events and initiatives. Additionally, the director identifies growth opportunities, developing new programs and initiatives to enhance the impact of EDI efforts.

Director of Equity Funds:

Responsible for managing fund committees that oversee financial support for student participation in paid events and case competitions. This role involves recruiting and training committee members, ensuring they understand funding objectives and criteria to make fair and transparent decisions. The director also oversees the funding application process, providing guidance to students and ensuring requests are reviewed equitably. Additionally, they collaborate with departments and organizations to identify further funding opportunities, maximizing the impact of available resources.

Finance Portfolio

Director of Finance (x4):

The Director of Finance works directly with the VP of Finance to manage AETSA’s internal financial operations by assisting with budget preparation, maintaining financial records, and preparing the UOSU audits. They are also responsible for conducting audits for the 17 Telfer student clubs, reviewing financial statements, and providing feedback to ensure the clubs are financially compliant, transparent, and operating efficiently. Additionally, they support the financial planning of major AETSA events, such as 101-Week, Telfer Formal, and the overall planning of the Networking for Tomorrow event. This role requires strong analytical skills, attention to detail, and the ability to work collaboratively with student leaders to ensure effective financial management across AETSA and its clubs.

Internal Portfolio

Director of Human Resources:

The Director of Human Resources (HR) is responsible for managing AETSA’s HR operations, ensuring policies and practices align with organizational values while fostering a fair and inclusive work environment. This role balances administrative responsibilities with strategic HR initiatives to support employee well-being and engagement.Key duties include recording and maintaining accurate records of General Council meeting minutes and overseeing the entry of employee engagement hours into the Community Engagement Navigator system. The Director also addresses HR-related issues, such as conflict resolution, grievances, and performance management, serving as a key resource for general council members seeking guidance. Additionally, this role ensures strong communication between the HR department and the General Council, keeping leadership informed and aligned with HR initiatives. By upholding ethical standards and prioritizing employee support, the Director of HR plays an essential role in cultivating a productive and positive workplace.

Director of Internal Growth:

The Director of Internal Growth is dedicated to strengthening AETSA’s internal community by fostering team cohesion, engagement, and morale. This role focuses on creating a positive workplace culture where members feel valued, connected, and motivated. A major aspect of this role is organizing activities that build strong relationships among members, including planning General Council social events such as team outings and bonding activities. The Director also manages the budgeting process for these events, ensuring resources are allocated efficiently. Additionally, this role serves as a communication link, keeping the General Council informed about internal growth initiatives and upcoming engagement opportunities.By promoting collaboration and inclusivity, the Director of Internal Growth enhances team dynamics and contributes to a workplace culture that prioritizes meaningful connections and shared success.

Marketing Portfolio

Director of Social Media Management:

The Director of Social Media Management manages and grows AETSA’s online presence by publishing promotional content, responding to messages, and ensuring brand consistency across platforms. This role involves tracking engagement metrics and coordinating content schedules with the VP of Marketing to align with other portfolios’ needs. While not the primary focus, you will also create occasional videos, reels, and skits to promote AETSA’s events, workshops, and activities. You will work closely with the Directors of Content Creation and Graphic Design to develop engaging and high-quality content while ensuring all posts are visually appealing and published on time. Strong communication skills, creativity, and attention to detail are essential in this role, as well as time management to ensure content is posted at optimal times that work in AETSA’s favour. Your ability to analyze social media trends and leverage insights will help strengthen AETSA’s digital influence within the student community. *This role requires bilingual proficiency in English and French to ensure accessibility and engagement with AETSA’s diverse audience.*

Director of Content Creation:

The Director of Content Creation plays a key role in shaping AETSA’s digital and promotional content strategy by developing engaging video, written, and visual content that enhances engagement across multiple platforms. This includes brainstorming creative ideas, producing short-form videos, reels, and engaging visuals, and drafting social media captions that align with AETSA’s messaging. You will be responsible for writing, editing, reviewing, and distributing monthly newsletters to Telfer students overseen by the VP of Marketing while capturing event photography and videography to document AETSA activities. Collaboration with the Directors of Social Media Management and Graphic Design will ensure that all content aligns with AETSA’s brand identity. Beyond traditional content creation, you will explore new storytelling methods, such as interactive videos and student-driven content, to elevate engagement. Your ability to create exciting narratives will help AETSA connect more deeply with its audience and drive meaningful interactions.

Director of Graphic Design:

The Director of Graphic Design is responsible for creating all visual assets, including posters, graphics, and promotional materials, that align with AETSA’s branding and enhance its visibility. This role involves designing digital and print materials for special events, such as banners, flyers, and merchandise. You will be expected to implement feedback, review designs for errors with the VP of Marketing, and collaborate closely with the Directors of Social Media Management and Content Creation to ensure visuals are prepared in advance for scheduled posts. Additionally, you will provide graphics and visuals to the Director of Website Administration for website updates. Creativity, proficiency in design software (e.g., Canva, Adobe Photoshop & Lightroom), and the ability to work under deadlines are key for this role. You will have the opportunity to push the creative boundaries of AETSA’s brand by experimenting with new design techniques and innovative marketing visuals. *This role requires bilingual proficiency in English and French to ensure accessibility and engagement with AETSA’s diverse audience.*

Director of Website Administration:

The Director of Website Administration manages and maintains AETSA’s website, ensuring it remains functional, visually appealing, and user-friendly. This role involves reviewing website content, links, and design, ensuring that updates and enhancements are made on time. Additionally, you will collect, track, and report key website performance metrics to the VP of Marketing, for continuous improvements. You will also create ticket sale forms and event pages in coordination with various AETSA portfolios to streamline event promotion and registration. Handling website inquiries and ensuring a seamless user experience will also be part of your responsibilities. You will play a crucial role in ensuring that AETSA’s digital presence remains professional, accessible, and engaging for both students and external visitors. 

Social Portfolio 

Director of Social Affairs (x2):

Responsible for planning, organizing, and executing events by working closely with the VP of Social Affairs to enhance the Telfer community. This includes managing logistics such as venue booking, catering, permits, scheduling events, and handling theme, name, and décor planning. They also book and attend meetings with the VP Social, follow up on behalf of the Social Team, and lead Slack communications for event coordination. Additionally, they oversee day-of operations and collect feedback from attendees to improve future events (Bilingualism is preferred).

Director of Philanthropy:

Responsible for leading AETSA’s charitable initiatives by planning and executing key events such as Philanthropy Day, Movember, and Wellness Week, while also organizing monthly donation drives to support various causes. They work closely with the Directors of Social Affairs when available, and represent AETSA at UOSU Philanthropic Round Tables. Additionally, they must reside in Ottawa for at least three out of four summer months, as per AETSA bylaws, to effectively oversee and contribute to philanthropic efforts throughout the year. (Bilingualism is preferred).
